Program Policy
STEM the Gap Payment Policy
Effective October 11th, 2025
STEM the Gap remains committed to providing free, high-quality STEM education. To enhance the professionalism and consistency of our program, we are implementing a refundable reservation fee system beginning October 11th, 2025.
Section 1: General Policy
1) Lesson Structure

Each seasonal series will include about 6-7 lessons.

Lessons will continue to be held every other Saturday.

Lesson dates will be preplanned and published before the start of each series.
2) Reservation Fee

Parents will be required to select the dates their child can attend before the series begins.

A $15 reservation fee will be charged for each selected lesson. This will be paid as a lump sum before the series begins.

For every lesson attended, the $15 fee will be credited back to the parents’ account.

At the end of the series, parents will receive a refund equal to $15 x the number of lessons attended.
Section 2: New Participants

The first lesson for new participants is completely free of charge (no reservation fee required).

If the participant wishes to continue, parents must select lesson dates for the remainder of the series and pay the applicable $15 reservation fee per lesson, refundable as described above.
Section 3: Cancellation Policy

Parents must cancel a lesson at least 48 hours in advance to receive the reservation fee refund.

If cancellation is made with less than 48 hours’ notice, the $15 reservation fee will be withheld.

If the participant or parent wishes to leave the program in the middle of a session, they must notify our team at swestemthegap@gmail.com. Any unused reservation fees will be refunded unless the team is not notified of the child’s departure.

Late arrivals/early departures still count as attendance unless the participant misses the majority of the lesson.
Section 4: Exceptions and Program Cancellations

In the event of illness or emergencies, parents may request an exception by contacting STEM the Gap. Exceptions will be reviewed on a case-by-case basis.

If STEM the Gap must cancel or reschedule a lesson (e.g., due to weather or staffing), parents will not be charged, and the $15 fee for that lesson will be refunded.
Section 5: Payment and Refunds

Payment method: reservation fees must be paid via Venmo or Zelle. More information will be emailed to those who sign up.

Refund method and timing: refunds will be issued via the original payment method within two weeks after the series concludes.
Agreement
By registering for a STEM the Gap series, parents/guardians acknowledge and agree to abide by the policies outlined above.
